Inspired HR is currently searching for candidates on behalf of their client, ImmunoPrecise.

Title of Job: Executive Assistant

Location of Position: Fargo, North Dakota

The Role of Executive Assistant:

Reporting to: The Chief Executive Officer. Job Type: Full-Time Monday to Friday 8am-5pm.

The ImmunoPrecise Executive Assistant will provide administrative support to the US headquarters (Fargo, ND) and manage office functions while maintaining an independent work structure. The administrative professional will exhibit excellent oral and written communication skills and is able to organize their work using tools and is proficient in Microsoft Office. 

Key responsibilities:

  • Maintain schedules of employees in Fargo office, assist with travel arrangements (including but not limited to, booking flights, hotels, car rentals, etc.), coordinate meetings and events.
  • Screen mail and phone calls, direct requests to appropriate individuals, and follow up on replies.
  • Maintain leadership's personal calendar to ensure key events and commitments are honored.
  • Scan confidential documents and process outgoing mail.
  • Coordinate tradeshow services, shipments and marketing collateral.
  • Monitor leadership's email account for time-sensitive items to coordinate, craft reply messaging and follow-up on action items to ensure completion.
  • Contact company personnel at multiple levels of the organization to gather and share information.
  • Handle special projects and duties as needed (for example, data collection, report creation, database maintenance, contacting personnel for routine updates, etc.).
  • Assemble and analyze confidential information for management.
  • Organize and maintain files on intranet and/or physical files and records.
  • Handle arrangements for visits by customers and others.
  • Prepare expense reports, manage scheduling for conference rooms, order office supplies, etc.
  • Assist with onboarding new employees.
  • Special, seasonal projects and other related duties as assigned.

Minimum requirements:

  • Associate's degree or equivalent combined education and experience.
  • Minimum of six (6) years related experience in this area.
  • Excellent working knowledge of Microsoft Office Suite including; Outlook, Word, Visio and PowerPoint.
  • Excellent organizational, communication, interpersonal and computer skills with demonstrated proficiency in Excel.
  • Must be proficient in English; both written and verbal.
  • Basic bookkeeping skills would be an asset.
  • Advanced multitasking ability
  • Self starter that takes initiative working with a positive attitude, excellence and diligence.
  • Strong attention to detail and the ability to manage concurrent projects.
