Our client is an internationally recognized educational leader, author, speaker, and CEO and Founder of CEFA Early Learning Schools. We are seeking an Executive/Personal Assistant to support our client by overseeing and organizing day-to-day administrative functions of the CEO. The ideal candidate is highly organized, detail-oriented and will display nothing but top-tier professionalism. The Executive/ Personal Assistant will be an integral part of the team, ensuring meetings are held, correspondence is made, schedules are shifted successfully, and no small detail is forgotten. What the Executive/ Personal Assistant will do:

  • Serves as the primary point of contact for all matters concerning the CEO
  • Manage, maintain and have full ownership a busy calendar, and respond to copious meeting requests that require frequent re-prioritization and delegation
  • Attends meetings, records meeting minutes and distributes to relevant parties
  • Prepares and edits various types of correspondence with internal and external stakeholders
  • Handles travel arrangements for the CEO
  • Assists in planning executive events and participation in external events
  • Drafts and proofreads correspondence and memos
  • Ensures administration in the CEO's office is consistently organized
  • Model the company culture, and exemplify our shared values on a day-to-day basis
  • Other duties or projects as assigned

What is required:

  • 5-7 years' experience in Administrative role preferred
  • Keen attention to detail
  • Proficient with Microsoft Office Suite (Outlook, Word, Excel, PowerPoint, and SharePoint)
  • Valid driver's licence (own vehicle preferred)
  • Outstanding organizational and time management skills
  • Upbeat, outgoing, personable and able to relate well with diverse groups
  • Demonstrated commitment to completion of projects on a timely basis
  • Ability to take initiative, multi-task & work well under pressure to handle a wide variety of activities and confidential matters with discretion
  • Flexible if work is needed outside of business hours
  • Expert level written and verbal communication
  • Have excellent problem-solving skills, with the ability to find creative solutions for system limitations
  • Great sense of humour, positive outlook, and able to effectively receive and communicate feedback
  • Never miss a deadline
